The step by step process of what to expect when working with a Therapist

It’s important that you have an understanding of the patient journey of a therapist, for example a neuro-physiotherapy company that provides services to clients who have sustained a traumatic brain injury.

By going through this list of bullet points, you should be able to see lots of parts where admin support would fit in, e.g. sending out terms and conditions, proof reading a report, liaising with the associate therapists and case manager.

  • Example physiotherapist receives a new enquiry by email from the Brain Injury Case Manager with brief information about the client with a postcode of where they live.
  • Would need to check availability and which associate therapist is based nearest to treat new patient.
  • Would provide CV of associate therapist and treatment costs to Case Manager.
  • Send terms and conditions to Case Manager for signing.
  • Case Manager will likely request costings for the initial assessment and ongoing treatment costs.
  • Would need to wait on confirmation from Case Manager once sent.
  • Request sent to Case Manager for any reports – plus name of solicitor/receiver for sending invoices to.
  • Send suggested dates for initial assessment to Case Manager, wait on a response.
  • Date booked with therapist for initial assessment.
  • Once initial assessment carried out – the therapist will write an initial assessment report.
  • Report sent to admin for formatting, once approved report sent onto Case Manager.
  • Send Case Manager costings of further treatment/intervention.
  • Invoice solicitor/receiver for initial assessment visit.
  • Further treatment sessions booked.
  • Dealing with more appointments.
  • Liaising with equipment companies to purchase specialist equipment for a client.
  • Liaising with other specialists e.g. a joint visit with the occupational therapist.

 

What to expect when working with a Case Manager

Typically a Brain Injury Case Manager would receive a new enquiry from a Personal Injury Solicitor requiring rehabilitation support for a client who has sustained a traumatic brain injury.  They would need a team of support workers to provide care to the client, with management of the whole process.

The Case Manager assigned to the client would need to identify what specialist support the client requires, typically a physiotherapist, occupational therapist, speech and language therapist and neuropsychologist, to carry out their initial assessments, bringing their conclusions and recommendations.

The Case Manager would ask the specialist therapist for 3 months costings of treatment e.g. one home visit each month over a 3 month period.

The Case Manager may need to recruit a support worker or a team of support workers.

The support workers would need to be inducted, trained and supervised, all managed by the Case Manager.

The Case Manager will liaise with the Deputy at the solicitor’s firm in relation to money, sending the Deputy a breakdown of all the costs so that rehabilitation can be provided immediately to the client.  The Deputy receives interim payments before the claim is settled in court, to pay for all the client’s rehab, care, equipment required etc.

The Case Management company may be just one Case Manager or have a team of Associate Case Managers.  The admin services likely to be requested would be:

  • Dealing with new enquiries by email and sending out terms and conditions and costings.
  • Identifying where the nearest physiotherapist, occupational therapist, speech and language therapist and neuropsychologist is to the client, then finding out what each of these specialists availability would be to carry out an initial assessment.
  • Organising appointments.
  • Filing of all email correspondence onto a patient record management system – using Qunote or iinsight.
  • Setting up new patients on the patient record management system and uploading documents and reports.
  • Proof reading and formatting reports, where each of the specialists have sent in their own version of their initial assessment and disseminating their findings and recommendations.
  • Typing up MDT meeting minutes from a recording or attending a Zoom MDT meeting to take the minutes.

This should give you a flavour of the type of admin work involved in supporting an independent Therapist or Brain Injury Case Manager.
